At Machu Picchu Peru Travel, we understand that travel plans can change. Our booking, cancellation, and refund policies are designed to provide clear and transparent conditions for all travelers.

We strongly recommend reviewing these policies before confirming your reservation.

1. Booking Confirmation and Payments

To confirm a reservation, an initial deposit of 40% of the total tour price is required, unless otherwise specified.

The remaining balance must be paid at least one day before the scheduled tour departure, unless alternative arrangements have been confirmed in writing.

Once a payment has been received, Machu Picchu Peru Travel may begin organizing the services included in your reservation, such as entrance tickets, transportation, accommodations, guides, and other travel arrangements.

2. Booking Changes and Rescheduling

Travelers may request changes to their travel dates, itineraries, transportation, accommodations, or other booked services.

All modifications are subject to availability, applicable supplier conditions, and possible additional charges.

Certain services, including Machu Picchu entrance tickets, Inca Trail permits, and train tickets, may have restrictions once issued or confirmed.

All booking changes must receive written confirmation from Machu Picchu Peru Travel.

3. Cancellation and Refund Policy

Travelers requesting a cancellation must notify Machu Picchu Peru Travel in writing.

Refund eligibility is determined by the number of calendar days between the date we receive the cancellation request and the scheduled tour departure date.

Less than 30 days before departure: No refund will be issued.

30 to 59 days before departure: The traveler is eligible for a refund equivalent to 30% of the amount paid.

60 to 120 days before departure: The traveler is eligible for a refund equivalent to 40% of the amount paid.

More than 120 days before departure: The traveler is eligible for a full refund of the amount paid, before deduction of applicable transfer fees.

Important: All refunds, including those eligible for a 100% refund, are subject to transfer fees that must be paid entirely by the traveler.

4. Refund Transfer Fees and Payment Methods

The traveler is solely responsible for covering all transfer fees and payment processing costs associated with any refund issued by Machu Picchu Peru Travel.

This condition applies to all refunds without exception under this policy, regardless of the cancellation date, refund percentage, reason for cancellation, or payment method used, to the extent permitted by applicable law.

Transfer Fee Conditions

  • All refund-related transfer costs are the responsibility of the traveler.
  • Transfer and transaction fees generally range from 5% to 6% of the approved refund amount, depending on the payment method.
  • These fees will be deducted directly from the refund amount before the funds are transferred to the traveler.
  • Machu Picchu Peru Travel does not assume or cover refund transfer fees.
  • This condition also applies to cancellations made more than 120 days before departure, even when the traveler qualifies for a 100% refund.
  • Any approved refund will be processed after the corresponding transfer charges have been determined.

Preferred Refund Method: PayPal

Machu Picchu Peru Travel prioritizes PayPal as its preferred refund method whenever available.

Other payment methods may be considered depending on the original transaction, payment provider, and applicable banking conditions.

Regardless of the refund method selected, all associated transfer and transaction costs must be covered by the traveler.

Refund Calculation Examples

For a reservation with a total amount paid of USD 1,000:

Cancellation NoticeApproved RefundNet Amount After Transfer Fees
15 daysUSD 0USD 0
45 daysUSD 300USD 282–285
90 daysUSD 400USD 376–380
150 daysUSD 1,000USD 940–950

The final refund amount depends on the applicable transaction fee, generally estimated between 5% and 6%.

A 100% refund refers to the full amount eligible for reimbursement before transfer fees. The traveler always assumes the applicable transfer costs.

5. Machu Picchu Tickets, Inca Trail Permits, and Special Reservations

Certain services are subject to government regulations, supplier conditions, and availability restrictions.

These include Machu Picchu entrance tickets, Inca Trail permits, train tickets, accommodations, and special events.

Some reservations may be non-transferable or subject to restrictions regarding changes to travel dates, names, schedules, or selected services.

The refund schedule outlined in Section 3 applies unless specific exceptions have been clearly communicated and accepted before booking, subject to applicable consumer protection laws.

6. Late Arrivals, No-Shows, and Unused Services

Travelers are responsible for arriving at the designated meeting point at the confirmed departure time.

No refunds will be issued for no-shows, late arrivals resulting in missed departures, or services voluntarily left unused.

If a traveler decides to leave a tour before its scheduled completion, any additional transportation, accommodation, or personal expenses will be the traveler’s responsibility.

7. Cancellations Due to Unexpected Circumstances

Travel conditions in Peru may occasionally be affected by severe weather, natural disasters, strikes, road closures, government restrictions, or other unforeseen circumstances.

When possible, Machu Picchu Peru Travel will evaluate alternatives such as itinerary adjustments, rescheduling, or replacement activities.

Any applicable refund will be reviewed according to the circumstances, contractual conditions, supplier policies, and applicable law.

Where a refund is issued under this policy, the traveler is responsible for the associated transfer fees, subject to any mandatory legal requirements.

8. Changes to Group and Private Reservations

If one or more participants cancel a group or private reservation, the price for the remaining travelers may need to be recalculated.

Private tour prices often depend on the confirmed number of participants.

Individual cancellation requests remain subject to the refund percentages established in Section 3.

Any approved refund will be subject to transfer fees payable by the traveler.

9. How to Request a Cancellation or Refund

All requests must be submitted in writing to Machu Picchu Peru Travel.

Please include:

  1. Full name of the traveler.
  2. Reservation number, if available.
  3. Tour name and scheduled departure date.
  4. Reason for the cancellation or modification.
  5. Relevant payment information.

The date on which our team receives the written cancellation request will determine the applicable cancellation period.

After reviewing the reservation, our team will communicate the approved refund amount, applicable transaction fees, and available refund method.

PayPal will be prioritized whenever possible.

10. Travel Insurance Recommendations

We strongly recommend purchasing comprehensive travel insurance before visiting Peru.

Travel insurance may provide protection against unexpected situations, including medical emergencies, trip cancellations, travel interruptions, lost luggage, and emergency evacuations.

Coverage depends on the insurance provider and selected policy.
